Invitation letters for visas: what they must contain
When a visa invitation letter is required, who signs it, the details consulates check, notarisation rules and how host obligations differ from sponsorship.
An invitation letter is a signed statement from a host, employer or organiser confirming who you are visiting, where you will stay, the exact dates and who pays. Consulates check that it matches your itinerary and includes the host's address, contact details, ID copy, and, where the host covers costs, their financial evidence.
Anatomy of a strong invitation letter
Open with the host's full name, address, nationality or residence status and contact details. State the applicant's full name, passport number and relationship. Give exact arrival and departure dates, the accommodation address, the purpose of the visit and an explicit sentence about who bears travel, accommodation and living costs.
Formal versus informal
Several Schengen countries have an official form — Germany's Verpflichtungserklärung, the Netherlands' proof of sponsorship, Italy's dichiarazione di ospitalità — obtained and notarised by the host locally. Where such a form exists, a free-text letter is not a substitute.
Business invitations
A business invitation is on company letterhead, signed by an authorised person, and states the meeting purpose, dates, the host company's registration number and which side pays. Attaching a conference registration or contract strengthens it materially.
Common mistakes
Dates that do not match the flights, a host address that differs from the accommodation field on the form, no cost-responsibility sentence, and no copy of the host's identity document. Any one turns a helpful document into a contradiction.
